Job Overview
We are looking for an experienced HR & Admin professional in Khed Shivapur, Pune to manage end-to-end Human Resources and Administration activities. The ideal candidate should have hands-on experience in recruitment, payroll, attendance, employee relations, HR compliance, administration, vendor management and employee welfare.
The candidate should have excellent communication skills, strong organizational abilities and the confidence to independently handle day-to-day HR & Admin operations.
Key Responsibilities – HR
1. Recruitment & Hiring
- Post job vacancies on Naukri, Indeed and other recruitment platforms.
- Coordinate with recruitment agencies and external consultants.
- Screen resumes and conduct initial candidate interviews.
- Coordinate interviews with department heads.
- Manage the complete recruitment cycle from sourcing to joining.
- Conduct background verification and reference checks.
- Maintain and regularly update the Recruitment Tracker.
2. Attendance & Time Office Management
- Maintain accurate attendance records for employees and contract workers.
- Manage manual attendance records for drivers and employees working outdoors.
- Maintain leave records and prepare monthly attendance and leave reports.
- Monitor absenteeism and issue caution/absenteeism letters when required.
- Ensure compliance with company attendance and leave policies.
3. Employee Onboarding & Induction
- Manage complete employee joining and onboarding formalities.
- Prepare and maintain joining documentation.
- Conduct employee induction and explain company policies and code of conduct.
- Coordinate appointment letters, ID cards, uniforms and joining kits.
- Create employee codes and coordinate bank account opening.
- Maintain employee personnel files.
4. Employee Exit & Full & Final Settlement
- Conduct exit interviews and manage employee exit formalities.
- Coordinate clearance and handover procedures.
- Prepare Experience Letters, Relieving Letters and No Dues Certificates.
- Coordinate full and final settlement processes.
- Ensure timely completion of exit documentation.
5. Payroll & Statutory Compliance
- Prepare timesheets and maintain accurate leave records for payroll.
- Coordinate monthly payroll processing.
- Ensure accurate PF, ESIC and Professional Tax deductions.
- Coordinate with consultants for PF and ESIC submissions.
- Maintain wage registers for different employee categories.
- Ensure timely distribution of salary slips.
6. Employee Relations & Engagement
- Handle employee queries and grievances professionally.
- Organize employee engagement activities, birthdays, events and team outings.
- Support implementation of company policies and disciplinary procedures.
- Organize employee health check-ups and maintain relevant records.
- Promote a positive and professional workplace culture.
7. HR Documentation & Records
- Maintain employee records in hard and digital formats.
- Keep HR documentation updated and audit-ready.
- Maintain ISO-related HR documentation.
- Support internal and external HR audits.
8. Training & Development
- Support the HR Manager in planning and conducting employee training programs.
- Maintain training records and prepare training reports.
- Track employee participation and training effectiveness.
9. Employee Welfare & CSR
- Support employee welfare initiatives.
- Assist with CSR activities and company events.
- Organize employee recognition programs to improve employee motivation and satisfaction.
Key Responsibilities – Administration
1. Office Management
- Manage office supplies and maintain inventory.
- Coordinate housekeeping and office cleanliness.
- Monitor office infrastructure, furniture, AC, electricity, water and parking facilities.
- Conduct regular facility inspections.
- Coordinate AC servicing, pest control, cleaning equipment maintenance, water purifier/dispenser maintenance, gas cylinder management, printer cartridge refilling, plumbing and electrical maintenance.
2. Vendor & Service Management
- Identify and coordinate with office vendors and service providers.
- Negotiate rates and manage vendor relationships.
- Coordinate housekeeping, security, maintenance and office supply services.
- Manage procurement of housekeeping supplies, grocery items, stickers, boards and other administrative materials.
3. Travel & Accommodation
- Manage employee travel arrangements including flights, hotels and transportation.
- Coordinate visa and other travel-related formalities.
- Negotiate suitable rates with travel and accommodation vendors.
- Handle urgent travel changes and cancellations.
4. Records & Reports
- Prepare reports related to office expenses, budgets and administration.
- Conduct monthly reviews of office expenses and supplies.
- Identify opportunities to control unnecessary administrative costs.
- Maintain records of office procurement, IT assets and administrative assets.
5. Security & Safety
- Coordinate security personnel and security service providers.
- Monitor security systems, intercom and internet connectivity.
- Conduct periodic checks of fire extinguishers and safety equipment.
- Ensure first-aid boxes are properly stocked and accessible.
6. Employee Welfare & General Administration
- Manage visitors and guests professionally.
- Arrange refreshments and meals for guests and employees when required.
- Coordinate special arrangements for international/foreign visitors.
- Ensure workplace hygiene and 5S standards.
- Maintain office decorum and workplace aesthetics.
- Manage office library and resources.
- Coordinate employee welfare items such as New Year kits, shoes, diaries and T-shirts.
Required Skills & Competencies

- Good organizational and time-management abilities.
- High attention to detail and accuracy.
- Ability to handle confidential employee information with discretion.
- Proficiency in MS Office – Excel, Word and PowerPoint.
- Good knowledge of HR documentation and administrative processes.
- Ability to work independently and coordinate with multiple departments.
- Positive attitude, enthusiasm and willingness to learn.
- Strong problem-solving and coordination skills.
Education & Experience
- Bachelor’s Degree in Human Resources / related field.
- MBA in HR preferred.
- Minimum 3 years of hands-on experience in HR & Administration.
- Experience in manufacturing/engineering organizations will be an advantage.
- Candidates should be comfortable working at Khed Shivapur, Pune.
