Assistant to Director

  • To maintain & manage Directors appointment schedule
    Respond to email enquiries, phone calls, prepare correspondence
    Secretarial activities, follow ups
    To co-ordinate for travel arrangements, assist in hosting presentations and customer visits as required
    Assisting in promotional activities, shadowing or attending meetings, working on marketing projects as and when required.
    To support the Director in his projects, proposals, bids, etc. through research, consultation, team-management
    To maintain customer confidence and protects operations by keeping informationconfidential
    To respond to clients, delivery team and other stakeholder queries in a timely and professional manner, both orally and in writing.
  • Acting as a first point of contact: dealing with correspondence and phone calls.
  • Managing diaries and organizing meetings and appointments, often controlling access to the Managing Directors Schedule.
  • Booking and arranging travel, transport and accommodation for Managing Director & other HODs.
  • Organizing events and conferences.
  • Reminding the Managing Director of important tasks and deadlines
  • Typing, compiling and preparing reports, presentations and correspondence
  • Managing databases and filing systems
  • Collating and filing expenses for Manging Director.
  • Miscellaneous tasks to support the Manging Director, e.g. completing some corporate governance reporting (to ensure that the business is being run properly and complying with legislation and regulations) or conducting research.Assistant to Director
  • Handling mailbox including Screening, prioritizing, responding & redirecting incoming correspondence on MDs behalf with appropriate judgement. Updating on urgent matters/ highlights of each division
  • Organizing and managing heavy calendar and travel arrangements
  • Managing complex internal/external meetings, preparing Agendas, taking minutes, follow up actions while maintaining professionalism and confidentiality.
  • Serve as the liaison with senior level executives, key business stakeholders, departmental heads to ensure continuous and efficient operation.
  • Monitor and coordinates with Finance/Marketing to renew MDs memberships periodically.
  • Take Minute of Meeting and other necessary related arrangements.
